POLICY REGARDING THE PROCESSING OF USER DATA BY UNIURB University Press
Dear User,
we wish to inform you that the General Data Protection Regulation (EU Regulation 2016/679 of the European Parliament and of the Council of 27 April 2016), hereinafter referred to as “GDPR”, concerning the protection of individuals with regard to the processing of personal data, oversees the protection of individuals with regard to the processing of personal data as a fundamental right.
In accordance with Article 13 of the GDPR, we inform you that the personal data (hereinafter referred to as “Data”) provided to the University of Urbino Carlo Bo (hereinafter the “University”) will be processed for institutional purposes only.
Urbino University Press (hereinafter “UUP”) is the University of Urbino's publishing houseand uses open-source software Open Journal Systems (OJS) and Open Monograph Press (OMP) developed by the Public Knowledge Project (PKP) to disseminate its publications.

The Data Controller for the provision of services on the website https://uup.uniurb.it is the University of Urbino Carlo Bo, represented by its Legal Representative, the Rector pro tempore, Via A. Saffi, 2 - 61029 Urbino (PU).
Types of processed data
The computer systems and application procedures used for the operation of the aforementioned websites automatically acquire the following types of data during their normal operation:
navigation data collected during visits to the website, the transmission of which is implicit in the use of Internet communication protocols. For example: IP address of the device connected to the site, type of browser used, name of the Internet service provider (ISP), date and time of visit, referring website (referrer), and exit page, etc.;
navigation data collected by adopting every precaution useful to reduce the possibility of identifying users who connect to it. For example: type of device used for connection, city from which one connects, duration of visit to a site, etc.;
data collected through cookies during browsing activity on the site by users. For further information regarding the cookies used by the platform, please consult the extended cookie policy attached to this document.
Purpose of processig data
The data collected is used exclusively within the scope of the University's institutional activities for the following purposes:
to allow navigation of the website (https://uup.uniurb.it);
to provide users with information and services required for the management of publications edited by Urbino University Press;
to obtain anonymous statistical information on the use of the University's journal platform or connected services, to monitor their correct functioning, carry out monitoring activities to support their security, and identify actions aimed at their improvement (for navigation data);
to fulfill legal obligations, comply with orders from Public Authorities, ascertain any liability in the event of hypothetical computer crimes against the site or its users.
The collection of personal data relating to registered and unregistered users of the platform is limited to the standard functioning purposes of all scientific publications subject to peer review. Therefore, only the information necessary for evaluation and publication procedures is collected, to inform readers about authorship and editorial processing of content, to delineate in an aggregated and anonymous form readers' preferences for individual articles, as well as their national and geographical origin. They are therefore used exclusively for scientific communication purposes.
Legal basis for processing data
The legal bases for processing can be identified as follows:
performance of tasks of public interest;
processing of data useful for the prevention, repression of any fraud, and any illegal activity;
processing necessary for the execution of a contract of which the data subject is a party;
consent of the data subject pursuant to Article 6(1) GDPR.
The provision of data and therefore consent to the collection and processing of data is optional. The User may refuse consent, and may revoke consent already given at any time. However, denying consent may result in the impossibility of providing certain services, and the browsing experience on the University's journal platform may be compromised.
Processing methods
The staff of Urbino University Press uses the data only to manage the workflow and to improve the formal quality of the texts. The data may be partly shared with the developers of the open-source software OJS and OMP produced by the Public Knowledge Project (PKP), always in an anonymous and aggregated form, with the sole exception of publication metrics, consultation, and download of contributions. The data will not be used for commercial purposes or for purposes other than those indicated here, neither by the editorial staff, nor by the publisher, nor by the PKP team.
Use of cookies
Cookies are small text files that a website sends to the browser used for web browsing to be stored and retransmitted to the same site on the next visit.
Through cookies, it is possible to collect information about the user visiting a website (e.g., date, time, pages visited, time spent on the site), some of which may fall within the definition of personal data and therefore be subject to specific legal regulations. Please refer to the cookie information at the end of this document.
Categories of authorized subjects to processing and to whom data may be communicated
The personal data of users will be known and processed, in compliance with the current legislation, by the employees and collaborators of the University (identified as Authorized to processing) responsible for managing the platform and involved in providing associated services.
The data may be communicated exclusively to:
the University structures requesting them, for institutional purposes of the University or in compliance with legislative obligations;
to non-economic public bodies or consortia participated by the University (e.g., MIUR) when communication is necessary for the performance of institutional functions of the requesting body;
to any external subjects, identified as Data Processors pursuant to Article 28 GDPR, whose updated list is always available to the Data Controller;
to the Public Security Authorities or other public entities for defense, State security, and investigation of crimes, or to the Judicial Authority in compliance with legal obligations, where hypotheses of crimes are identified.
For the processing of data necessary for the performance of their duties, the data may be accessed by individuals (employees or collaborators) authorized by the University of Urbino Carlo Bo, in the person of the Rector pro tempore, Data Controller.
Outside of the aforementioned cases, personal data will not be communicated or disclosed to third parties in any way or for any reason. Personal data will not be transferred to third countries or international organizations unless this is strictly connected to specific requests from the user, for which explicit consent will be obtained.
Data retention period
With regard to the different purposes and objectives for which they were collected, the data will be kept for the time provided for by the reference regulations or for as long as necessary to achieve the purposes.
Links to third-party sites
The website (uup.uniurb.it) uses content and services from "third parties" as a result of incorporating external resources or implementing technologies that can enhance its features and improve the browsing experience of its users.
It is possible, therefore, that during navigation on them, some technical and/or profiling cookies may be sent by third parties to the terminal used by users, without the Data Controller being aware of them or being able to intervene on them.
It is recommended to read the privacy policy of each third-party site reached.

Rights of the data subject
As the data subject, you have the right to request from the University, as the Data Controller, pursuant to Articles 15, 16, 17, 18, 19, and 21 of the GDPR:
access to your personal data and to all information pursuant to Article 15 of the GDPR;
rectification of your inaccurate personal data and integration of incomplete data;
erasure of your data, except for those contained in acts that must be obligatorily retained by the University and unless there is a prevailing legitimate reason to proceed with the processing;
restriction of processing where one of the hypotheses referred to in Article 18 of the GDPR applies.
You also have the right:
to object to the processing of your personal data, without prejudice to what is provided regarding the necessity and obligatoriness of processing for the establishment of the relationship;
to revoke any consent given for the processing of non-mandatory data, without prejudice to the lawfulness of processing based on consent given before the revocation.

Complaint
As the data subject, you also have the right to lodge a complaint with the Data Protection Authority pursuant to Article 77 of the GDPR.
